Pragnakalp Techlabs ("Pragnakalp," "we," "us," or "our") operates LeadJarvis (the "Service"), a business platform that helps organizations capture, manage, qualify, and engage leads, including through WhatsApp Business Platform, email, and related integrations.
This Privacy Policy explains how we collect, use, disclose, retain, and protect personal data when you use LeadJarvis, our websites, applications, APIs, and related services.
By using LeadJarvis, you acknowledge the practices described in this Privacy Policy. Where applicable, additional contractual terms may govern how we process data on behalf of our business customers.

1. Who This Policy Applies To
This Privacy Policy applies to the following categories of individuals:
1.1 Customers and account users
People who create, administer, or use a LeadJarvis organization account, including administrators, team members, operators, and event or booth staff.
1.2 Leads and end contacts
People whose information is captured, uploaded, imported, stored, or otherwise processed by a LeadJarvis customer, including people who communicate with a LeadJarvis customer through WhatsApp, email, or another enabled channel.
Where a LeadJarvis customer uses the Service to process information about its leads or contacts, that customer is generally the data controller or business responsible for that information. Pragnakalp generally acts as a service provider or data processor on the customer's instructions.
If you are a lead or contact of one of our customers, please contact that business first for requests concerning how it uses your information. We will assist our customer as appropriate.
1.3 Website visitors
People who visit LeadJarvis websites, submit forms, request demonstrations, contact us, or otherwise interact with our public-facing services.
2. Information We Collect
The information we collect depends on how you use LeadJarvis and which features or integrations your organization enables.
2.1 Account and organization information
We may collect:
- Name
- Business email address
- Phone number
- Company or organization name
- Profile photo, if provided
- Login credentials and authentication information
- Organization membership, roles, and permissions
- Billing and subscription information
- Support requests, communications, and feedback
Passwords, where applicable, are stored using appropriate password hashing practices and are not stored in plain text. Payment card information is handled by our payment service providers where applicable.
2.2 Lead and customer-provided information
Our customers may use LeadJarvis to store or process:
- Names and contact details
- Email addresses and phone numbers
- Company names, job titles, and websites
- Business-card images and information extracted from those images
- Event, booth, or lead-capture context
- Notes, tags, statuses, priorities, and activity history
- Company enrichment or research information selected or generated by the customer
- Conversation content and related metadata
- Other information that the customer chooses to upload, import, capture, or process through the Service
Customers are responsible for ensuring that they have an appropriate legal basis and the necessary permissions to provide this information to LeadJarvis and to use it for their intended purposes.
2.3 WhatsApp and Meta-related information
When a customer connects WhatsApp Business capabilities to LeadJarvis, we may process information necessary to provide those capabilities, including:
- WhatsApp Business Account (WABA) identifiers
- Business phone number IDs and related phone information
- Message content, including text and media
- Approved or submitted message templates
- Template names, categories, statuses, and related responses
- Message delivery, read, failure, and other messaging events
- Webhook events and metadata received from Meta
- Business profile information managed through the Service
- Other information made available through the WhatsApp Business Platform APIs that is necessary to provide the enabled functionality
LeadJarvis may use Meta APIs to send and receive messages and manage WhatsApp Business assets and templates on behalf of customers that connect their WhatsApp Business accounts.
Use of WhatsApp and Meta services is also subject to applicable Meta and WhatsApp terms, policies, and privacy practices.
2.4 Email and other third-party integrations
If a customer connects an email, CRM, or other third-party integration, we may process information required to provide that integration, including:
- OAuth tokens or other authentication credentials
- Email content and metadata
- CRM records and synchronization identifiers
- Contact and account information
- Other data made available through the connected service
We access and process information from connected services only as necessary to provide the functionality configured by the customer, subject to applicable permissions and terms.
2.5 Technical and usage information
We may automatically collect:
- IP address
- Browser and device type
- Operating system
- Approximate location derived from IP address
- Date and time of requests
- Usage and activity logs
- API usage information
- Error reports and diagnostics
- Security and authentication events
- Cookie and similar technology information
We use this information to operate, secure, troubleshoot, and improve the Service.
2.6 AI and automation features
Where a customer enables AI assistants, chatbots, automated replies, summarization, classification, enrichment, or other AI-enabled features, LeadJarvis may process conversation content, lead information, instructions, and related context to provide the requested functionality.
AI-enabled features may use third-party AI service providers where necessary to provide the requested functionality. Such processing is subject to applicable contractual, technical, and data-protection safeguards.
LeadJarvis does not use customer lead databases or customer message content for advertising to unrelated customers. Where customer data is processed on the customer's behalf, it is processed to provide the services configured by that customer, subject to applicable law and contractual obligations.
3. How We Use Personal Data
We may use personal data to:
- Provide, operate, maintain, and secure LeadJarvis
- Create and administer accounts and organizations
- Authenticate users and manage roles and permissions
- Capture, manage, qualify, and organize leads
- Provide CRM, campaign, automation, chatbot, and analytics functionality
- Send and receive WhatsApp messages on behalf of connected businesses
- Manage WhatsApp Business assets and message templates
- Process Meta webhooks and messaging events
- Provide email and other third-party integrations
- Provide AI and automation features requested by customers
- Send transactional communications such as verification emails, invitations, password resets, and service notices
- Provide customer support
- Detect, investigate, and prevent fraud, abuse, security incidents, and unauthorized activity
- Monitor and improve the performance, reliability, and security of the Service
- Comply with applicable laws and legal obligations
- Enforce our agreements and protect our rights, property, users, and the public
- Send product updates or marketing communications to account holders where permitted by law
We do not sell personal data.
We do not use customer lead databases or customer WhatsApp message content to advertise to other customers.
5. International Data Transfers
We may process personal data in countries other than the country where you or our customer are located.
Our infrastructure and service providers may process and store data in the United States and India. Depending on the services used, limited processing may also occur in other countries where our subprocessors operate.
Where customers connect third-party CRMs or similar integrations (for example Zoho or other connected tools), data synced to those systems is stored and processed in the regions and infrastructure used by that CRM or provider, according to that provider's own terms and privacy policy. LeadJarvis does not control where those third-party systems host data after sync.
Where applicable law requires safeguards for international transfers, we will use appropriate mechanisms, which may include contractual safeguards such as Standard Contractual Clauses or equivalent lawful transfer mechanisms.
6. Data Retention
We retain personal data only for as long as reasonably necessary for the purposes described in this Privacy Policy, including to provide the Service, comply with legal obligations, resolve disputes, maintain security, and enforce agreements.
Generally:
- Account and organization data: retained while the account is active and for a reasonable period afterward where necessary for backups, disputes, security, fraud prevention, or legal compliance.
- Lead and message content: retained according to customer configuration and our applicable retention practices, until deleted by the customer or as otherwise required or permitted by law.
- Logs and security records: generally retained for a limited period appropriate for security, troubleshooting, auditing, and operational purposes.
- Deleted data: may remain temporarily in encrypted backups or disaster-recovery systems before being permanently deleted in accordance with our backup and retention processes.
Specific retention periods may vary depending on the type of data, the customer's configuration, applicable contractual obligations, and legal requirements.
7. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal data against unauthorized access, alteration, disclosure, loss, or destruction.
These measures may include:
- Access controls and role-based permissions
- Least-privilege practices
- Encryption in transit using TLS
- Secure authentication practices
- Logging and monitoring
- Security controls for infrastructure and applications
- Backup and recovery procedures
- Measures designed to isolate customer organizations
No method of transmission, storage, or processing is completely secure. Accordingly, we cannot guarantee absolute security.
Customers are responsible for protecting their account credentials, controlling access to their LeadJarvis organization, and using WhatsApp, Meta, email, and other connected services in compliance with applicable laws and platform policies.
8. Your Privacy Rights
Depending on your location and applicable law, you may have rights regarding your personal data, including the right to:
- Access personal data we hold about you
- Request correction of inaccurate information
- Request deletion of personal data
- Request restriction of processing
- Object to certain processing
- Request data portability
- Withdraw consent where processing is based on consent
- Lodge a complaint with an applicable data protection authority

If you are a lead or contact whose information is processed by one of our customers, please contact that business first. We will assist the customer as appropriate because it may be the controller responsible for your information.
We may need to verify your identity before processing a privacy request.
9. Data Deletion
You may request deletion of personal data associated with your LeadJarvis account by:
- Using the account or organization deletion functionality available within LeadJarvis, where provided; or
- Emailing connect@leadjarvis.com with the subject "Data Deletion Request - LeadJarvis".
Please include your full name and organization name so that we can identify the relevant account.
We will process valid deletion requests within the timeframe required by applicable law, subject to information that we are required or permitted to retain for legitimate purposes such as legal compliance, security, fraud prevention, billing, dispute resolution, or recordkeeping.
Meta-connected data
If you connect LeadJarvis to Meta or WhatsApp and request deletion of information associated with your use of our Meta app, you may submit a request using the same contact information above.
Where Meta's systems or settings trigger a data-deletion request, we will process the request in accordance with applicable Meta requirements and this Privacy Policy.
Information processed by LeadJarvis solely on behalf of a customer, such as that customer's lead database or conversations, may require the customer's authorization or action because the customer may control that information.

10. Children's Privacy
LeadJarvis is a business service and is not directed to children under 16, or the minimum age required in the applicable jurisdiction.
We do not knowingly collect personal data directly from children for the purpose of providing LeadJarvis. If you believe that a child has provided personal data to us, please contact us at connect@leadjarvis.com so that we can take appropriate action.
12. Third-Party Services and Links
LeadJarvis may integrate with or provide links to third-party services, including Meta, WhatsApp, email providers, CRM platforms, payment providers, cloud infrastructure providers, and AI service providers.
Those third parties may have their own privacy policies and terms. Their processing of information may be governed by those policies and by the permissions granted by the customer or user.
We encourage users to review the privacy practices of third-party services they choose to connect to LeadJarvis.
13. Business Customers and Data Processing
When a business customer uses LeadJarvis to process personal data relating to its employees, customers, prospects, leads, or other individuals, the customer may act as the data controller or equivalent responsible party, while Pragnakalp may act as a service provider or data processor.
In these circumstances:
- The customer determines the purposes for which the information is processed.
- The customer is responsible for providing required notices and obtaining necessary permissions or legal bases.
- Pragnakalp processes the relevant data to provide LeadJarvis and according to the customer's instructions, subject to our agreements and applicable law.
- Customers are responsible for configuring their LeadJarvis, WhatsApp, email, CRM, and other integrations in a lawful manner.
Where a separate data processing agreement is required or agreed, its terms may supplement or take precedence over this Privacy Policy with respect to the applicable processing.
14. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes to LeadJarvis, our practices, legal requirements, or the services we provide.
When we make changes, we will update the Last updated date at the top of this Privacy Policy and, where required by applicable law, provide additional notice.
Your continued use of LeadJarvis after an updated Privacy Policy becomes effective constitutes acceptance of the updated policy to the extent permitted by applicable law.
